- Ask about the time-line of everything including the arrival times of the rental equipment and staff, the meal serve time, when the bar opens, the rental pickup time, and when they have to be out of the venue. Often, “exact time” deliveries cost more than flexible schedules.
- Ask about special dietary options if you will be having guests with specific food needs (such as food allergies or a vegetarian). Food safety and accommodations for your guests should be a top priority.
- Ask about hors d’oeuvres; will they be passed by the wait staff or remain stationary? How many hors d’oeuvres will circulate prior to the main meal and for how long?
- If your venue will not be providing certain rental equipment, ask your caterer if they provide it. Most provide everything from tables and chair to tabletop equipment to bar supplies. Find out everything they offer and you can select just what you need.
- Your total cost will also depend on the amount of labor needed for your event. Workers provided by the catering service may include an event manager, chef, kitchen assistants, wait staff, and bartenders. Keep in mind that buffets will be less expensive than plated dinners. Seated dinners require more work, time, and equipment, thus increasing your costs.
- Ask the caterer if the gratuity (service charge) is included in the total cost or separate.
- Sales tax - no getting out of it.
